Everything you need to know before your visit — booking, cancellations, privacy and your care.
By booking an appointment with Matt Newbery Professional, you agree to the following Terms & Conditions.
Matt Newbery Professional is a private aesthetics and beauty clinic operating on an appointment-only basis. All treatments are subject to consultation, assessment, suitability and practitioner discretion.
Appointments may be booked online, by telephone, email, social media messaging or in person. A booking fee may be required to secure an appointment. Appointment times are reserved exclusively for each client.
All booking fees and deposits are strictly non-refundable and non-transferable. Booking fees are paid to reserve clinic time, practitioner availability and consultation services. Booking fees will be retained in all circumstances including, but not limited to: client cancellation; client rescheduling; failure to attend; late arrival; treatment being deemed unsuitable; undisclosed medical conditions; contraindications identified during consultation; practitioner refusal of treatment on safety grounds; and change of mind. Booking fees cannot be transferred to another person, treatment or appointment unless agreed solely at the discretion of Matt Newbery Professional.
A minimum of 72 hours' notice is required to cancel or reschedule an appointment. Appointments cancelled with less than 72 hours' notice may result in loss of any booking fee paid. Appointments cancelled within 24 hours of the appointment time may be charged at up to 100% of the full treatment value. Failure to attend an appointment without notice (a "No Show") will result in the full treatment cost becoming immediately payable. Future appointments may be refused following repeated cancellations or no-shows.
Where card details are provided during booking, you authorise Matt Newbery Professional to charge the card held on file for late cancellation fees, no-show fees, outstanding balances, and charges due under these Terms & Conditions. By providing your payment details, you confirm your agreement to these Terms & Conditions.
Clients must provide complete, accurate and honest medical information before treatment. This includes, but is not limited to, medical conditions, current medications, allergies, pregnancy or breastfeeding, skin disorders, recent procedures, previous adverse reactions and contraindications. Failure to disclose relevant information may result in treatment being postponed, modified or refused. No refund will be provided where treatment cannot proceed due to undisclosed information or contraindications.
All treatments are subject to consultation and assessment. Attendance at a consultation does not guarantee treatment. Matt Newbery Professional reserves the right to postpone, modify or decline treatment where it is considered unsafe, inappropriate or unsuitable. Consultation time remains chargeable regardless of treatment outcome.
Aesthetic and beauty treatments involve individual biological responses, and results vary significantly between clients. No guarantee is made regarding treatment outcomes, degree of improvement, longevity of results or the number of treatments required. Photographs, testimonials, social media content and previous client results are provided for illustrative purposes only and do not constitute a guarantee of future results.
Matt Newbery Professional reserves the right to refuse treatment at any time where a contraindication exists, medical information is incomplete, treatment is deemed unsafe, client expectations are unrealistic, practitioner wellbeing or safety may be compromised, or behaviour is inappropriate. Any refusal of treatment shall remain entirely at the practitioner's discretion.
Clients are expected to arrive at their scheduled appointment time. Clients arriving late may have treatment time reduced. Clients arriving more than 15 minutes late may have their appointment cancelled or rescheduled, and full charges may still apply.
Matt Newbery Professional is a private clinic operating by appointment only. Clients should attend appointments alone wherever possible. Guests, friends or family members are not permitted unless previously agreed. Children must not attend appointments unless they are receiving treatment themselves or prior permission has been granted. Children are not permitted to accompany clients attending aesthetic treatments, facials, advanced skin treatments or injectable appointments. This policy exists for safety, insurance and clinical reasons.
Injectable treatments are strictly available to clients aged 18 years and over, and proof of age may be requested. Certain beauty treatments may be available to younger clients where appropriate parental consent has been obtained.
Payment is due on completion of treatment unless agreed otherwise. Outstanding balances remain payable regardless of any future dispute regarding treatment satisfaction. Failure to make payment may result in debt recovery action, and any costs incurred in recovering unpaid balances may be added to the amount owed.
Treatment packages are non-refundable and non-transferable. Unused sessions must be redeemed within 12 months of purchase unless otherwise stated. Expired sessions cannot be refunded or exchanged.
Gift vouchers are valid for 12 months from the date of purchase. Gift vouchers are non-refundable and cannot be exchanged for cash. Lost, stolen or expired vouchers cannot be replaced. Extensions may be granted solely at the discretion of Matt Newbery Professional.
Clinical photographs may be taken before, during and after treatment. These images form part of the client's confidential treatment record. Marketing use of images will only occur where separate consent has been obtained.
Clients agree to follow all aftercare instructions provided. Failure to follow aftercare guidance may affect treatment outcomes and may void any entitlement to review appointments or corrective treatment. Matt Newbery Professional cannot accept responsibility for complications arising from failure to follow aftercare advice.
In the event of a chargeback, payment dispute or payment provider investigation, Matt Newbery Professional reserves the right to provide consultation records, consent forms, booking confirmations, communication records, treatment photographs, medical questionnaires and signed documentation to the relevant payment provider, financial institution or dispute resolution service.
Matt Newbery Professional operates a zero-tolerance policy towards abusive, aggressive, threatening, discriminatory or inappropriate behaviour. Any such behaviour may result in immediate termination of treatment, cancellation of future appointments, or refusal of future services, without refund.
Nothing in these Terms & Conditions excludes liability where such exclusion would be unlawful. To the fullest extent permitted by law, Matt Newbery Professional shall not be liable for indirect, incidental or consequential losses arising from treatment or services provided.
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

↑ Back to topWe want every client to feel confident in their care. This policy sets out clearly how refunds are handled at Matt Newbery Professional.
All booking fees and deposits are strictly non-refundable and non-transferable. They reserve clinic time, practitioner availability and consultation services, and are retained accordingly.
No refunds are given for treatments that have been completed.
No refund will be provided where a treatment cannot proceed due to undisclosed medical conditions, contraindications, or inaccurate information supplied by the client.
Aesthetic treatments depend on individual biological responses, and results vary between clients. Outcomes cannot be guaranteed. Dissatisfaction with results alone does not automatically entitle a client to a refund.
Treatment packages are non-refundable and non-transferable.
Gift vouchers are non-refundable and cannot be exchanged for cash.
Any refund offered is entirely at the discretion of Matt Newbery Professional. Where a discretionary refund or goodwill gesture is made, it does not set a precedent for any future request.
↑ Back to topTo protect both our clients and our clinic time, card details may be held securely at the time of booking. This policy explains how.
Where card details are provided, they may be securely stored through our approved booking and payment providers. Card data is handled entirely by secure, third-party payment providers and is not stored directly by the clinic.
No payment is taken at the time of booking unless otherwise stated.
By providing your card details, you authorise Matt Newbery Professional to charge the card held on file for late cancellation fees, no-show fees, outstanding balances, and any charges due under our Terms & Conditions.
Where reasonably possible, you will be notified before any charge is processed.
All card data is processed in compliance with UK GDPR and applicable data protection legislation. See our Privacy Policy for further detail on how we handle your information.

↑ Back to topMatt Newbery Professional is committed to protecting your privacy. This policy explains what information we collect, why, and your rights under UK GDPR.
We may collect information through website enquiry forms, our online booking system, consultation forms, treatment consent forms, clinical photography, and email marketing sign-ups where consent is given. This may include your name, contact details, date of birth, medical history, treatment records and photographs.
We process your information to provide safe and appropriate treatment, manage appointments and payments, maintain accurate clinical records, meet our legal and insurance obligations, and — where you have consented — to send you marketing communications.
We rely on the following lawful bases: contract (to provide the services you book); legal obligation (to keep clinical and financial records); legitimate interests (to run and protect our clinic); and consent (for marketing and for any use of images beyond your clinical record). Consultation notes, medical questionnaires, consent forms and treatment records form part of your confidential clinical record and are retained securely in line with professional and insurance requirements.
Clinical photographs form part of your treatment record. Images are only used for marketing where you have given separate, explicit written consent, which you may withdraw at any time.
We retain personal and clinical records only for as long as necessary to meet professional, legal, insurance and regulatory requirements, after which they are securely destroyed.
Appropriate technical and organisational measures are in place to protect your information. Booking and payment data is handled by secure, approved third-party providers.
You have the right to be informed; to access your data; to rectification; to erasure (where applicable); to restrict or object to processing; and to data portability. You also have the right to withdraw consent at any time and to complain to the Information Commissioner's Office (ICO).
